Our tools do the work.  Every manual step kicks off a series of automated processes. While reviewing, you are communicating with the transcriptionist.  While printing, you are sending CCs and uploading documents to EMR.


Dictation

Providers can choose to use digital handheld recorders, our phone-in system, or dictate directly to their PC.  Starting with digital recordings makes dictation easier, allows tracking, backups, automated transmission, and improved clarity.

Many clinicians prefer the handheld recorder and dictate between patients.  Just put it in the cradle for uploading and recharging. The phone system works well when not in the office and for ambulatory surgery centers.
 
Handheld Dictation

Our proprietary PC-based recorder integrates dictation into EMR systems, allowing dictation into any significant data field, even those where the EMR requires keyboard entry. The system automatically identifies the data field and patient so you don’t have to dictate transcription markers.

 

Patient schedule data

We set up a secure extract of patient demographic data to ensure that we have patient name, date of birth etc. correct, freeing the provider from having to dictate this information every time.  It also eliminates the largest source of transcription errors. We can also get visit type, location, and even body part, allowing us to automatically select and format the proper note type.

The data feed can include account numbers, visit type and number, claim numbers, payer information, and referring provider. This information can be used to enable a host of advanced services, from AutoFAX to EMR upload.  We write custom queries or leverage your system’s report writing capability.  The data moves as part of our existing SSL encrypted flow.

 

 

 


Electronic Review

Microsoft Word®-based transcription review and approval process is faster and easier than paper. Pro-Scribe’s transcription is routed back to the provider or designated staff for review and processing, saving time and internal costs. Feedback is provided to the transcriptionist as a matter of course, without interrupting efficient processing. Everything can be reviewed or just those documents requiring signatures or containing a question from the transcriptionist.

Where medical records personnel perform the review, proof copies, including transcriptionist notes, can be printed or automatically faxed for provider feedback. Complex workflows, such as multi-step approvals, can be accommodated.
As part of document approval, a digital signature can be automatically inserted into the document.

We help our clients remove “babysitting the printer” from everyone’s job description! Paper tray assignments for your hardware are automatically programmed into each document, allowing dozens of notes, cc copies, letters and envelopes to be printed in one operation. Documents can automatically be faxed to referring providers using the Pro-Scribe AutoFAX system, saving hundreds of dollars a month in time and materials. For surgery centers, a copy of every document can be automatically faxed back to the surgeon’s practice as a matter of course.

Electronic CC

As part of the patient schedule data query we also retrieve the name and contact information of all referring physicians linked to the patient appointment. During transcription, our staff checks this information against Pro-Scribe’s physician database, which is maintained and updated daily by over 100 users.

The data from the most trusted source is used for addressing CC’s; this almost always means using the information from our database.

This data is used to automatically address envelopes or insert up-to-date fax numbers.

As part of our AutoFAX service, finalized documents are returned to Pro-Scribe after clinical processing for outbound faxing that eveningovernight. Pro-Scribe manages the rest and takes care of any problem…at a fraction of the cost of postage alone.
